Role Summary
We are seeking a Strategic Events Coordinator to oversee the full planning and delivery of high-profile events, including forums, executive evenings, webinars, and on-site meeting campaigns. This role combines strategic event design, stakeholder coordination, vendor management, and operational execution across both online and in-person formats. The Strategic Events Coordinator will work closely with key internal stakeholders to ensure all events run seamlessly and reflecting GPAU’s standards of excellence.
Your main responsibilities include:
1. Event Planning & Execution:
- Develop and manage the annual events calendar, ensuring alignment with
organizational objectives, covering forums, awards ceremonies, executive evenings,
webinars, and meeting campaigns.
- Oversee the planning, budgeting, and coordination for flagship events, ensuring
seamless event execution by collaborating with operational teams.
- Work closely with senior internal stakeholders to ensure alignment and successful
delivery of event objectives.
- Coordinate venue sourcing, site visits, and logistical requirements for all events.
- Facilitate hybrid, virtual, and in-person events, ensuring all technical and operational
aspects run smoothly, including live streaming when necessary.
- Coordinate meeting campaigns, ensuring scheduling, venue arrangements, passes,
meeting agendas, and materials are prepared and distributed.
2. Stakeholder & Vendor Management:
- Coordinate with speakers, moderators, and VIPs, ensuring alignment on content and
logistics.
- Engage and manage vendors to ensure cost-efficiency, quality service delivery, and
alignment with event goals.
- Collaborate with finance and legal teams to ensure procurement processes, contracts,
and payments are handled according to organizational standards.
- Maintain strong vendor relationships and ensure timely, high-quality service delivery.
3. Post-Event Reporting & Continuous Improvement
- Lead post-event reporting, compiling feedback from attendees and stakeholders to
assess event success and areas for improvement.
- Track event KPIs (e.g., attendance, engagement, client satisfaction) and generate
actionable insights to refine future event strategies.
- Share data and insights with senior leadership to inform decision-making and drive
continuous improvements in event planning and execution.
- Collaborate with internal teams to identify opportunities for cost optimization and
process improvements.
We expect you to:

- Experience in event coordination, with a focus on managing both in-person and virtual events.
- Strong organizational and logistical skills, ensuring events are executed seamlessly from start to finish.
- Ability to collaborate with senior stakeholders to ensure alignment with event objectives and deliver a positive attendee experience.
- Excellent communication skills and the ability to engage with vendors, speakers, and participants professionally.
- A keen eye for detail, ensuring all aspects of the event are well planned and executed.
- Proficiency with event management platforms and virtual event tools to support smooth event delivery.
- A proactive attitude, with the ability to identify and solve problems to ensure events stay on track.
- A creative approach to organizing engaging events and enhancing the attendee
experience.
- Bachelor’s degree or relevant experience in Event Management, Business or a related field.
- Ability to manage multiple events simultaneously while maintaining a high level of
organization.
