Maentae aims to support their customers to reach faculty operation efficiency through providing them with coordinating faculty allocation to courses, ensuring efficient scheduling, and supporting academic operations. This role involves collaborating with project managers, faculty members, and administrative teams to align teaching assignments with faculty expertise, availability, and institutional needs. The Faculty Coordination Assistant plays a key role in faculty workload management, academic planning, and process optimization to enhance teaching efficiency and course delivery.
Your main responsibilities include:
- Faculty Coordination & Course Allocation
-Maintain and update the faculty course allocation database to track assignments, workload distribution, and teaching schedules.
-Collaborate with project managers and program coordinators to match faculty expertise with course requirements.
-Ensure compliance with institutional policies related to faculty teaching loads, contract terms, and academic guidelines.
-Address last-minute scheduling conflicts by reallocating faculty or identifying replacement instructors as needed.
Scheduling & Planning
-Assist in the development of course schedules , balancing faculty availability.
-Support the integration of internal, and external faculty into the scheduling process.
-Ensure timely communication of schedules, changes, and updates to faculty and relevant stakeholders.
Faculty Support & Process Optimization
-Assist in onboarding new faculty members, ensuring they have the necessary resources, orientation, and system access.-
-Support faculty evaluation and performance tracking in coordination with performance management standards
Data Management & Reporting
-Maintain accurate records of faculty workloads, teaching assignments, and course allocations
We expect you to:
- Educational background: Bachelor’s of Education, Business Administration, or a related field.
- Previous experience: 1-3 years of experience in academic administration, faculty coordination, HR operation management, or scheduling roles within higher education.
- Must have skills:
-Strong organizational and time management skills with the ability to manage multiple priorities.
-Excellent communication and interpersonal skills to collaborate with faculty, and project managers.
-Analytical mindset with attention to detail in faculty workload distribution and course assignments.
-Proficiency in Microsoft Office (Excel, Word, Outlook) and database management.
-Ability to work under pressure, solve problems, and adapt to changing academic needs.
-Knowledge of faculty management systems and course scheduling software (e.g. Asana, Slack or similar platforms).
-Experience with agile/scrum methodologies and project management tools
-Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities and business needs.
