Position Overview
As a Functional Area Enablement Specialist, you will be responsible for supporting operations by providing administrative and operational assistance across various functions. You will play a critical role in ensuring that processes are well-documented, project management tools are organized, and workflows run smoothly. Your focus will be on identifying bottlenecks, implementing process improvements, and fostering effective communication and collaboration within the team.
Your main responsibilities include:
- Provide administrative support to ensure smooth daily operations.
- Maintain and update Biodigy's operational files in a timely manner.
- Ensure Asana and other project management tools are well-organized, tracked, and utilized effectively.
- Set up and manage a Knowledge Management System (KMS) to document all processes at Biodigy.
- Assist the manager during meetings by taking detailed notes and tracking all agreements and action items.
- Collaborate with team members to identify workflow bottlenecks and propose solutions to enhance efficiency.
- Foster effective communication within and across teams to ensure alignment of goals and seamless collaboration.
- Work closely with department heads and team members to understand functional area requirements and challenges.
- Support cross-functional initiatives by streamlining processes and ensuring optimal efficiency in workflows.
- Identify opportunities to improve existing processes and procedures by leveraging best practices and technology solutions.
- Develop and maintain documentation such as Standard Operating Procedures (SOPs) and training materials to ensure process consistency and knowledge transfer.
- Assist in generating operational reports and analytics to support data-driven decision-making.
We expect you to:
- 2-3 years of experience in an operational coordinator, project management, or administrative support role.
- Experience supporting complex initiatives across functions in a fast-paced environment.
- Strong organizational and process-oriented mindset with the ability to manage multiple tasks efficiently.
- Excellent written and verbal communication skills, with a proven ability to collaborate effectively across teams.
- Ability to identify inefficiencies and propose solutions to improve workflow and operations.
- Proficiency in project management tools (Asana, MS Office, or equivalent PM software), CRM platforms, and data analysis.
- Strong problem-solving skills, with the ability to conduct root cause analysis and drive process improvements.
- Adaptability to shifting priorities and a proactive approach to managing challenges.
